To achieve both the maximum occupancy and the highest room rates in rooms division and catering sales within the policies and guidelines as outlined by the Hotel.
· In order to achieve the above objective, it is imperative that the Sales Manager understands fully the product he/she is selling, the location of the Hotel, the competitors and other products available in the market, the type of customers and the customers that are derived from.
· In conjunction with Managing Director, you are to prepare the projection of the Hotel sales at the end of each year for the following year. Based on that projection, you are to organize your activities to meet that goal.
· Your time is to be invested wisely and constructively so as to achieve the above goals, as your productivity will be closely monitored and will be directly measured with the results achieved.
Following job description and guidelines are to be strictly followed:
§ You are to report to work no later than 8:00 am, earlier if it is necessary, to meet the customers’ needs. You are to serve your customers at any time of the day or evening to suit their needs.
§ Make Sales/Service contacts by telephone, correspondence and outside sales calls.
§ Participate in industry-related organizations to promote awareness of hotel, make new contacts and search out new leads.
§ Maintain clear documentation in client files according to the sales department standards and guidelines. Must be familiar with P.M.S. as it pertains to sales and marketing.
§ Conduct site visits and entertain clients to promote the hotel.
§ Respond, within 8 hours to all inquiries as they call in or are mailed in from prospective clients by researching space availability and guest room status.
§ Maintain knowledge of competition and market segments.
§ Participate in establishing a sales budget and ensuring that the budget is met.
§ Achieve sales quotas as outlined for corresponding market segments.
§ Prepare all proposals, contracts, letters, and sales reports in a legible, grammatically correct, professional manner.
§ In order to achieve 100% effort in sales, all your time from 8 am to 5:30 pm should be directed towards sales and marketing and at no time should this time be spent on personal matters or any other matters but future sales of the Hotel.
§ You are required to make 5 outside calls per day with appointments that have been set up in advance.
§ You are required to do a minimum of 25 telephone solicitation calls to prospective clients a day.
§ The Company requires a minimum of 10 new accounts per month and a minimum of 10 to 15 maintenance calls to existing accounts per month.
§ Goals and objectives along with a sales plan must be set for each week that is properly laid out and followed accordingly. This plan must be included in the Managing Directors weekly activity report.
§ Sales calls should be well planned according to market segments or geographical area.
§ Take all group bookings and ensure they are entered and dropped according to the group policy procedure.
§ May be required to do out of town sales calls.
